STAFF POSITION DESCRIPTION

Position Title: Admissions Support Representative (part-time)
Unit and Location: Tempe/Chandler, Arizona
Reports to: Manager of Admissions and Marketing

Job Summary

Primarily responsible for providing accurate and timely office support to a unit within the University targeting program specific projects and tasks. Additionally responsible for supporting the daily operations of the unit's office operations. This position requires communication with employees as well as persons external to the University. Routinely interacts with other staff members requiring effective communications.

Essential Duties and Responsibilities

  • Responsible for organizing and coordinating projects and tasks specific to the primary function of the unit. Duties are performed within established processes and procedures with supervision as needed.

  • Provide support to unit operations. Support of office operations may include but are not limited to: maintaining records, files and/or databases according to established standards, internal reporting of data and information necessary to unit operation, gathering of data for regulatory reporting, departmental budget oversight, evaluation of information, external vendor or individual contact to organize and set schedules for unit employees, handling correspondence in a complete and timely manner, and providing office support as needed (phones, appointments).

  • Provide an effective and responsible interface to persons both internal and external to the University via telephone, computer, and in person. Maintain effective working relationships and understand the job responsibilities and obligations of those with whom you work. Support the work of others and create a sense of “team” within the unit.

  • Understand the University's policies and procedures as they apply to your unit. Assure that University information is handled confidentially. Represent the University in a positive and responsive manner.

  • Execute tasks specific to the recruitment of new students, such as answering telephone inquiries, scheduling preadmission interviews, assisting with and attending prospective student events, working with prospective students to the successful completion of enrollment.

  • Initiate and maintain contact with current students on a regular basis via phone, email, and standard mail to seek feedback about the specific individual student's OU experience and provide support.

  • Other duties as assigned by the supervisor.

Qualifications

Education: High School Diploma required.
Work Experience: 1-4 years related experience.
Required Skills and Abilities:

  • Able to perform general office duties, possess good typing skills, and be a self starter.

  • Good verbal and written communication skills. Accuracy, organization, and attention to detail.

  • Experience with Microsoft Office software and ability to learn computer data entry routines.

  • Strong customer service orientation and a commitment to quality.
