STAFF POSITION DESCRIPTION

Position Title: Admissions Support Representative
Unit and Location: Indiana
Reports to: Admissions Counselor

Job Summary

Primarily responsible for the recruitment of prospective students. Requires frequent and effective communication with prospective and current students, employees, and persons external to the university. Duties are performed within established processes and procedures, with minimum supervision, and through personal initiative providing leadership to the department. Position occasionally requires a varied schedule, including evening and weekend responsibilities.

Essential Duties and Responsibilities

  • Execute tasks specific to the recruitment of new students, such as answering telephone inquiries, scheduling preadmission interviews, assisting with and attending prospective student events, processing application paperwork, working with prospective students to the successful completion of enrollment.

  • Follow up with prospective students who have inquired about Ottawa University through mailings and high volume phone calls, ensuring all prospective students are contacted in a timely fashion. Provide continuous follow-up and remain in contact with prospective students from initial inquiry, to pre-admission interview with a faculty member, to application and enrollment.

  • Understand educational offerings and effectively communicate this information to prospective students.

  • Provides phone back-up and front desk coverage as designated by supervisor.

  • Interface with others via telephone, computer, and in person. Answers phones for unit as needed. Maintain effective working relationships and understand the job responsibilities and obligations of those with whom you work. Support the work of other staff members and create a sense of “team” within the unit.

  • Assists with activities, meetings, and events requiring the cooperation and participation with other entities and the community. Such events include, but are not limited to: graduation, student informational sessions, student registration, special events, and seminars.

  • Provide leadership to those with whom you work through your conduct, attitude and professionalism. Understand the university's policies and procedures as they apply to your unit. Recommend necessary departmental policies changes as appropriate.

  • Represent the University to students, staff, faculty, and external groups in a way that reflects well on OU. Assure that all University information is handled confidentially and ethically.

  • Other duties as assigned by the supervisor.

Qualifications

Education: College hours toward a minimum of Associates Degree required; Bachelor's degree preferred.
Work Experience: 5 years of related work experience. Higher education office experience preferred.
Required skills and abilities:

  • Excellent verbal and written communications skills.
  • Strong knowledge of Microsoft Office software and ability to learn computer applications.
  • Work independently, with limited supervision; work cooperatively, providing leadership to others.
  • Accuracy, organization and attention to detail.
