STAFF POSITION DESCRIPTION

Position Title: Admissions Associate
Unit and Location: Wisconsin
Reports to: Admissions Manager

Job Summary

Primarily responsible for providing administrative support to the enrollment function for the university unit. Requires frequent and effective communication with prospective and current students, employees, as well as persons external to the University. Duties are performed within established processes and procedures, with minimum supervision, and through personal initiative. Position occasionally requires a varied schedule including evening and weekend responsibilities.

 

Essential Duties and Responsibilities

  • Support enrollment initiatives by continuously identifying prospective students through established innovative recruitment and networking methods under the direction of the Enrollment Manager including: answering telephone calls, and follow-up with prospective leads through mailings and phone calls.

  • Performs tasks specific to the recruitment of new students including: processing inquiry and preadmission meeting paperwork, assist with and attend prospective student events, schedule prospective student preadmission meetings, and work with prospective students to facilitate movement forward in the inquiry to enrollment process.

  • Provide administrative support to enrollment initiatives by: accurate documentation of student information, maintain supply of university informational materials (catalogs, program information), process enrollment mailing projects. Complete daily data entry and updates in university database.

  • Assists with activities, meetings, and events requiring the cooperation and participation with other entities and the community. Such events include but are not limited to: graduation, student informational sessions, student registration, special events, and seminars.

  • Provides phone back-up and front desk coverage as designated by the Administrative Team.

  • Interface with others via telephone, computer, and in person. Answer phones for unit as needed. Maintain effective working relationships and understand the job responsibilities and obligations of those with whom you work. Support the work of other staff members and create a sense of “team” within the Unit.

  • Provide leadership to those with whom you work through your conduct, attitude and professionalism. Understand the University's policies and procedures as they apply to your unit. Recommend necessary departmental policies changes as appropriate.

  • Represent the University to students, staff, faculty, and external groups in a way that reflects well on OU. Assure that all University information is handled confidentially and ethically.

  • Other duties as assigned include surveying students, field incoming inquiries and helping encourage referral of new students.

 

Qualifications

Education: College Hours toward a degree is preferred.
Work Experience: Five plus years general work experience preferred.
Required Skills and Abilities:

  • Strong verbal, written, phone communication experience a plus.

  • Strong knowledge of Microsoft Office software and databases.

  • Work independently, with limited supervision; work cooperatively, providing leadership to others.

  • Accuracy, organization and attention to detail.

  • Interest or experience in sales and marketing

  • Aptitude for data entry, efficient processing of mailings.
