STAFF POSITION DESCRIPTION

Position title: Enrollment Assistant
Unit and location: Online Education Unit, Ottawa, KS
Reports to: Vice President for Online Education

Job Summary

Responsible for registration and retention of new and returning students in both undergraduate and graduate online degree programs. Work with students to ensure continued enrollment and successful completion of their academic programs. Acts as a liaison and support service between students and Ottawa University. Must be committed to following established processes and working within the University's policies and guidelines is mandatory. This position requires an energetic, hardworking individual with excellent interpersonal communication and time management skills.

Essential Duties and Responsibilities

  • Perform admissions functions to identified prospective students via telephone and e-mail to further discuss the benefits of attending Ottawa University and answer specific questions regarding undergraduate majors.

  • Maintain regular and consistent contact with enrolled students. Offer and encourage assistance and information concerning academic progress. Assist students in selecting a program and provide guidance and information regarding course selections and online options available. Work with the Academic Dean to follow established education plans for individual students.

  • Identify and assist students in coordinating tuition payment options and process including employer reimbursement, financial aid, veteran's affairs, etc.

  • Serve as a student advocate when assisting with the resolution of student problems in registration, withdrawals, financial aid, student accounts, and/or academic records. Work with faculty to identify students having academic problems, including participation issues, and identify ways to overcome these issues to promote student success and retention; coordinates discipline issues with the academic dean as appropriate. Work with business and financial aid offices to assist students in avoiding/resolving tuition balances.

  • Coordinate the unofficial transcript evaluation process with the Academic Dean, including performing informal transfer credit evaluations for academic dean approval.

  • Work with other Online Education Unit staff members to implement strategies and processes which will ultimately encourage students to apply and complete degree programs.

  • Manage time and assigned responsibilities to effectively and efficiently achieve goals. Perform other duties as assigned.

  • Maintain consistent and accurate data in computer systems regarding online inquiries and students. Provide information and reporting as required by University policy and process.

  • Commitment to and enthusiasm for the University and its Mission; a clear understanding of and a commitment to the small Christ-centered Liberal Arts environment; a sincere interest in working with prospective students and their families offering a personalized, enthusiastic and comprehensive service through the advising process.

  • Provide leadership to those with whom you work through your conduct, attitude, and professionalism. Understand the University's policies and procedures and exercise judgment accordingly. Represent the University to faculty, staff, students, and external vendors in a way that reflects well on the University.

  • Represent the University to students, staff, faculty, and external groups in a way that reflects well on Ottawa University. Assure that information is handled in a confidential and ethical manner.

Qualifications

Education: HS Diploma required; college hours toward a degree preferred.
Work Experience: Five plus years general work experience preferred.
Required Skills and Abilities:

  • Strong verbal, written, phone communication experience a plus.

  • Strong knowledge of Microsoft Office software and databases.

  • Work independently, with limited supervision; work cooperatively, providing leadership to others.

  • Accuracy, organization and attention to detail.

  • Interest or experience in sales and marketing

  • Aptitude for data entry, efficient processing of mailings.
